Congratulations! You're one step closer to your global experience. Once you've accepted your offer, there are several important steps to complete before you depart. Use this guide to stay organized and prepare for a successful semester abroad.
Your Pre-Departure Checklist
Confirm Your Participation
To reserve your place in the program, you'll need to:
- Sign your Confirmation of Participation (CoP) using a handwritten signature.
- Upload all pages through the CoP Post-Decision Questionnaire.
- Submit your paperwork by the deadline provided in your acceptance email.
Attend Your Pre-Departure Meeting
Pre-departure meetings cover everything you need to know before leaving, including:
- Course registration
- Housing
- Visa information
- Health and safety
- Travel logistics
- What to expect after arrival
You'll also have the opportunity to meet other students participating in your program.
Complete Your Host University Requirements
After confirming your participation, Gies Global will nominate you to your host institution.
Your host university will contact you with instructions for:
- Completing their application
- Activating your student account
- Registering for courses
- Accessing student services
Pay close attention to deadlines communicated by your host institution.
Plan Your Travel
Housing
Housing varies by program.
Depending on your destination, you may live in:
- University residence halls
- Student apartments
- Private housing
- A host family
Refer to your program guide for housing options and application instructions. Begin your search early, as availability may be limited.
Flights
You are responsible for booking your own airfare.
Before purchasing flights, confirm:
- Your program start date
- Housing move-in dates
- Orientation requirements
Before You Leave Campus
If you currently live in campus or private housing, make arrangements before departing.
This may include:
- Finding a subletter
- Ending your lease
- Coordinating with University Housing
Starting these conversations early can make the transition much easier.
Academic Preparation
Register for Courses
Course registration looks different at every partner institution.
Your host university will provide instructions for selecting courses and registration timelines.
Students participating in semester exchange programs must complete the equivalent of 12 Illinois credit hours while abroad.
Complete Required Illinois Coursework
Before departure, be sure to:
- Complete any required pre-departure modules in My Study Abroad.
- Finish any required LAS 291 assignments, if applicable.
Financial Preparation
Budget Your Expenses

- Daily living expenses
- Financial aid

Creating a simple budget before departure can help you prepare for expenses while abroad.
Banking & Currency
Before you travel:
- Notify your bank and credit card companies.

Travel Essentials
Visa
Visa requirements vary by country and citizenship.
Most students are responsible for completing their own visa application. If you need documentation from Illinois or your host institution, Gies Global is happy to assist.

Learn About Your Destination
One of the best ways to prepare is to learn about your host country before you arrive.
